HeyHomeCare for HHAeXchange: AI voice & SMS for Medicaid home care.

HeyHomeCare integrates natively with HHAeXchange via API. It picks up your caregivers’ calls and texts — call-outs, shift swaps, and especially missed clock-ins — and is EVV-aware, so it can chase a missing clock-in before the penalty window closes. Built for Medicaid-heavy agencies, single-state or multi-state.

Native API

By the HeyHomeCare team. We build the HHAeXchange integration in-house and integrate with the other platforms Medicaid agencies evaluate, including AlayaCare.

What this integration does
HeyHomeCare integrates natively with HHAeXchange via API and is EVV-aware — it catches missed clock-ins before EVV penalty windows expire, a use case unique to HHAeXchange operators.
01 / What it does

What HeyHomeCare does for your HHAeXchange agency.

HHAeXchange is the EVV and Medicaid backbone for thousands of agencies — in many states, it’s the de facto EVV aggregator. What it doesn’t do is answer the phone when a Medicaid caregiver calls out, or chase the aide whose clock-in never landed before the visit window closed. In a Medicaid book, that missed clock-in isn’t just an operational annoyance — it’s a compliance and revenue risk.

HeyHomeCare is the AI voice and SMS layer that handles it, and it’s EVV-aware by design. It reads the live HHAeXchange schedule, recognizes when a clock-in is overdue, and reaches the caregiver immediately — protecting the visit before it becomes a penalty.

  • Medicaid caregiver call-outs, verified against the live schedule
  • Missed clock-in chasing before EVV penalty windows expire
  • Shift-swap and open-shift pickup across the Medicaid roster
  • Multi-state routing with per-state lines and rules
  • Escalation to your coordinator with full context on a true no-show
02 / The integration

Native API integration — and where EVV stops.

HeyHomeCare integrates natively with HHAeXchange via API. It reads caregiver and shift data, including EVV flags, so it can route correctly and catch problems early. Here’s the important boundary: HeyHomeCare reads EVV-adjacent data, but it does not submit EVV records. That remains HHAeXchange’s job. The agent helps you protect EVV compliance without trying to replace the EVV system of record.

  • Caregiver rosterNames, phone numbers, status, and eligibility — synced so the agent recognizes every caller across your Medicaid book.
  • Shift dataLive visits and assignments, read in real time to verify call-outs and offer coverage.
  • EVV flags (read-only)Visit verification status is read so the agent knows when a clock-in is overdue — it never writes or submits EVV records.
  • Interaction notesCalls and texts logged back to the caregiver or shift record so coordinators see outcomes inside HHAeXchange.
03 / Use cases

Use cases specific to Medicaid agencies.

Medicaid caregiver call-out coverage

A caregiver calls out on a Medicaid visit. HeyHomeCare verifies the shift in HHAeXchange, texts eligible caregivers to cover, confirms the pickup, and keeps the visit — and the billing — intact.

Missed clock-in before the penalty window

A visit start passes with no EVV clock-in. The agent reaches the caregiver immediately, confirms they’re on-site or reroutes, and flags a genuine no-show — protecting EVV compliance before the window closes.

Multi-state HHAeXchange deployments

Run several states on HHAeXchange? HeyHomeCare provisions per-state numbers and applies each state’s routing and escalation rules, so a New York caregiver and a New Jersey caregiver each reach the right place.

Mixed Medicaid and private-pay

As HHAeXchange’s private-pay features grow, HeyHomeCare handles both books from one layer — no separate system for private-pay caregivers.

04 / Setup

Connecting HeyHomeCare to HHAeXchange.

Single-state agencies connect in a couple of days. Multi-state takes a bit longer, because we provision a line and a ruleset per state.

  1. Connect your HHAeXchange account
Paste your HHAeXchange API credentials. They’re encrypted at rest with AES-256-GCM. Roster, schedule, and EVV-flag sync begins immediately.
  2. Provision your lines
One number for a single-state agency, or per-state numbers for multi-state. Calls and texts route to the HeyHomeCare agent.
  3. Set EVV-aware routing rules
Tell the agent how aggressively to chase missed clock-ins and when to escalate. We map it to each state’s penalty windows and your on-call rotation.
  4. Go live
Single-state agencies are live in 2–3 business days; multi-state in 5–10. The agent starts protecting visits against your live HHAeXchange data.
05 / Pricing

What it costs.

HeyHomeCare is priced per active caregiver per month, with no setup fees and no per-minute charges. For Medicaid agencies, the more relevant number is what a single missed-clock-in penalty or an unbilled visit costs — the agent pays for itself by protecting visits the office would otherwise miss after hours.

In a Medicaid book, the cost of one HeyHomeCare seat is small next to the revenue lost to a single visit that fell through the cracks overnight.
06 / Security

Security and HIPAA.

Medicaid home care is PHI-heavy and audited, and the controls reflect that. Every account gets a signed BAA before any data flows.

  • Signed Business Associate Agreement (BAA) on every account
  • AES-256-GCM encryption for all stored integration credentials
  • PHI redaction on every log line — credentials are never logged in plaintext
  • HIPAA-aligned, SOC 2 Type II controls
  • Tenant isolation — your HHAeXchange data is scoped to your agency only
